Job Description

This position is responsible is for managing, coordinating and planning official tours and events for Pacific Northwest National Laboratory; maintaining knowledge of etiquette and procedures for all dignitary and elected officials visits; and is a point-of-contact on protocol matters for the Lab. All tours and events promote laboratory objectives, capabilities and achievements to internal and external audiences with the goal of building and enhancing goodwill and advocacy. Developing messaging and building complex agendas is essential for each high-level visit.

The incumbent must take highly-technical information, develop and maintain scripts that are used for tours given to the general public. Strong project management skills are needed which includes; developing timelines; preparing budgets, developing messages; and managing all of the details and elements of an event that can change on a daily basis. Projects managed are complex in nature and often politically sensitive. This position is often the first person our external visitors meet and is often the first impression of the Laboratory.

The visitors range from external clients, dignitaries, foreign nationals and other VIPs. This position must be able to look at the big picture as well as manage the smallest detail for tours, events, conferences and workshops. This will require strong public relations, communications and marketing skills. This position serves pool doing cost-recovered tours/events work.

The incumbent will provide tours and event planning for clients on a cost recovered basis by developing tour and events that meet the Labs objectives and goals and perform other duties as assigned. • Build and maintain independent relationships with internal and external audiences, working with all levels of Lab staff including senior management. • Plan high visibility tours, events, and conferences including producing, coordinating, and distributing information products associated with these events. • Use creative, integrated decision making in the logistical planning of multiple, complex meetings, conferences, and/or other events. • Must have seasoned business judgment, project management skills and relationship management skills. • Develop and manage budgets for conferences and workshops. • Strong writing skills for a breadth of media including internal and external newsletters, social media, and invitations and programs. Special/Hazardous Working Conditions or Environment: • Requires a valid driver’s license • Position involves lifting, hauling, and setup of equipment needed for meetings and events.

Minimum Qualifications
Bachelor's degree plus 3 years of experience; or advanced degree.

Preferred Qualifications
A Bachelor’s degree in public relations, business administration, or related field with a minimum of 3-5 years of professional experience working in a related field or an advanced degree plus 0-2 years of experience in a related field. The job requires strong relationship management, problem solving, judgment, organizational and customer service skills. Experience in providing counsel to management and leading meetings is desired. The incumbent should possess excellent written and verbal communication skills and be detail oriented.
